The problem we kept running into

Most small businesses don't fail at the work. They struggle with everything around it. You quote a job in a document template, invoice it from a different tool, track the expense in a spreadsheet, chase the payment by email, and then at the end of the quarter you try to reassemble the whole picture from four places that were never designed to talk to each other.

That gap is expensive in a way that's easy to miss. It isn't only the hours - it's the quote that never got followed up, the invoice that sat unpaid for sixty days because nobody was watching, the deduction that was never claimed because the receipt disappeared. For a business with three people and no back office, that adds up to real money every year.

The tools that solve this properly have historically been built for accountants, priced for companies with finance teams, and shaped around a workflow that assumes someone whose whole job is bookkeeping. If that isn't you, you end up paying for complexity you'll never use and still keeping a spreadsheet on the side.

What we're building instead

Apsis is one connected system for the money side of a small business. Clients, quotes, invoices, expenses, tax figures, tasks, and time all live in the same place and feed each other.

Win a quote, and it converts to an invoice without re-entering a line. Issue the invoice, and it tracks its own status - sent, viewed, paid, or overdue - and chases the client on a schedule so you don't have to remember to. Log an expense, and it lands in the right category with its GST already separated, so the BAS figures are accumulating quietly in the background rather than being reconstructed in a panic four times a year.

None of that is revolutionary on its own. The point is that it's one system: the value isn't in any single feature, it's in not having to move data between them.

What we believe

Who's behind it

Apsis is built and run by a small independent team in Australia - not a venture-funded company with a sales department. That shapes the product in ways we think are good: we answer our own support email, we can ship a fix the week you report it, and we have no incentive to make the software harder to leave than it is to use.

It also means we're candid about where we are. Apsis is a young product. We would rather do a small number of things properly than advertise a long feature list that falls apart under real use, so some things you might expect aren't built yet - and we'll tell you plainly which ones if you ask.

How it's built

Your data is stored in Australia, encrypted in transit, and strictly separated between accounts. Payments are handled by Stripe, so card details never touch our servers. Two-factor authentication is available on every account, including free ones, because account security shouldn't be a paid upgrade.

We publish what we do with your information in the Privacy Policy, including a full list of the third parties involved and what each one sees. If something there isn't clear enough, tell us and we'll fix the wording.

Where it's going

The direction is depth rather than breadth: making the core loop - quote, invoice, get paid, account for it - genuinely excellent for Australian small businesses, rather than adding adjacent modules that are shallow versions of dedicated tools.
